Project management tools for remote teams

December 14 / 2022

The massive implementation of remote and hybrid work is two-sided. On the one hand, the spectacular success enjoyed by the vast majority of workers. On the other hand, managing large teams and online projects is not always an easy task. At least at the beginning.

Having a competent project management tool is essential for remote teams. And it is that, for your project to be successful, cooperation and teamwork must be aligned. Impossible goal if fluid online communication does not take place.

Videoconferences, group chats, calendars, digital boards, group editing of documents… Endless practical and secure options to communicate among project members. These tools allow different types of remote work tasks to be carried out efficiently.

Project Management Software: most important features

When choosing the most suitable software for your computer, a series of important characteristics must be taken into account.

  • Utility

The more complex the project management tool, the more difficult it will be to adopt it effectively. The simplicity and usability enhance its usefulness.

  • Implementation

Closely linked to the previous point. There must be a high feasibility that the company can adopt this tool and incorporate different functions of its activity.

  • Integration

Integration takes care that all the tools work correctly and harmoniously with each other. For this reason, it is essential to verify if our project management tool can be effectively integrated with those already used by the company.

  • Value

Once we know the cost of the investment, we must ask ourselves a question: does the project management software offer the optimal conditions to meet our needs? The answer must be very clear from the beginning.

4 interesting Project Management Tools

Asana

Born in 2012, this software keeps track of the work in progress. With it, you can follow up on the professional who performs the task, the deadlines to be met and the outstanding operations.

It has four levels: Basic (free), Premium, Business and Enterprise. Among its most interesting features we can find:

  • Flexibility: the recent addition of templates gives its users the experience they want.
  • Work-in-progress management: it can manage both work-in-progress and project-based tasks. For example, marketing campaigns or fundraising. Most of the other tools on the market, on the other hand, can only manage complex projects.
  • Updates: each year introduces new and interesting features.
  • Asana Goals: only available for Business and Enterprise accounts. Its users can set goals and check the progress.

To sum up, it is a flexible, fast design software with many features and a very effective free version. As notable buts we can mention the lack of resource management tools and the absence of monitoring of budgets and expenses. To carry out tasks with numerous graphics, it is perhaps not the most recommended either.

Clickup

Currently, more than two hundred thousand teams from companies like Google, Uber or Airbnb use this project management tool. Its versatility means that it can be as simple or complex as you want.

It is available as a free trial or with a monthly subscription. Within its programming features we can find, among others:

  • Time estimation: evaluates time and allows tasks division among team members.
  • Start and end dates: sets the deadlines for the task to achieve objectives.
  • Calendar synchronization: it can synchronize third-party calendars with those tasks scheduled in ClickUp.
  • Kanban Board: achieve workflow management in an agile way, using simple statuses to help accurately interpret the progress of the project

Its user-friendly interface; offline work mode, with synchronization of tasks when finding a connection; clip to record the screen or notifications enabled in the browser, web and app, make this software a very interesting tool.

As cons are the inability to export dashboards from ClickUp and that there are too many options for customization.

Monday

In this case, we are not dealing with a project management tool per se. Rather it is a highly customized set of spreadsheets.

Work team members record their tasks and report their progress through status updates and adequate information. Internal automations save team members a lot of time by notifying them when things are done.

Monday stands out above all for its status as a CRM solution. This is due to its rudimentary sales and CRM features, plus integrations with third-party tools. It consists of numerous levels to accommodate growing businesses as well as business users.

Some of its notable features are:

  • Customizable fields
  • Activity Register
  • Execution dashboard
  • Relevant updates
  • Integration with PipeDrive
  • Progress display

A modern user interface and its acceptable customization possibilities make it a good option. The main drawbacks are the too confusing prices and packages, as well as somewhat complicated navigation options.

Teamwork

Defined interface and easy configuration. You just have to create an account, invite collaborators and start entering data. Its privacy feature is flexible. The administrator has the possibility to choose the degree of access and visibility of each member.

Its characteristics are customizable depending on each project. Among them are:

  • Dashboards: data organized in graphs, information boxes that reflect the status of the project, number of tasks, tasks that are active, the time spent on them…
  • Gantt charts: made up of milestones, progress recording including the completion percentage of a job, adjustable priority levels…
  • Workload: (only with the Premium feature). A resource management tool to track progress against deadlines
  • Time tracking: to keep track of working hours

A tool with great customization options and a fairly intuitive design. The biggest but is the absence of image or PDF markup tools.
